A Seamless Migration From Dynamics GP to NetSuite

The Problem

An industry leading entertainment production company had decided to migrate its operations from Dynamics GP to NetSuite. With an implementation team in place, they wanted to look at their options for a multi-year, multi-company data conversion that was outside of the project scope.

Here at HKS Technology we have been providing complex data conversion services between Dynamics GP and NetSuite for more than a decade. Through our product knowledge of both systems, we have developed a set of SQL scripts and processes that can extract, transform, and export data ready for NetSuite. After speaking to HKS Technology a plan was developed to move multiple years of sales and purchasing data from four distinct databases on GP into a single multi-subsidiary NetSuite system.  

The Process

The first step we took was to implement multi-subsidiary entity records as their current system had up to four distinct records for mutual vendors and customers. We were able to extract customer and vendor data from the source system, establish matching rules to merge the data, clean country, state, and phone number values, and import the final datasets into NetSuite with an accurate assignment of subsidiaries.

For the transactional conversion we took the data from the four distinct databases and extracted it into a single ETL SQL instance. There we mapped the source company to a NetSuite subsidiary and handled GL account, department, location, and class mappings. Data was then programmatically exported into NetSuite compliant csv files that could be easily imported.

The client took the opportunity during this process to clean up old data that was still residing in Dynamics GP due to a lack of resources to process the necessary adjustments. With the client’s direction we were able to programmatically exclude a subset of transactional data from the conversion process without time-consuming manual clean up.

The Result

When the project was completed the client had clean and balanced transactional data that allows good historical comparisons whilst establishing a structured data framework to use within NetSuite. By leveraging our extensive data conversion experience, we were able to eliminate a set of frustrations for the accounting team without adding additional time or constraints to the project timeline whilst coming in under budget for the data conversion.
